Privacy Policy

Last updated: January 2024

Look, we get it - nobody really reads these things, but we're gonna be straight with you about how we handle your info. We're not a big tech company, just a studio trying to design great spaces and keep your data safe while we're at it.

What We Collect

When you reach out to us or fill in a contact form, we're gonna need some basics - your name, email, phone number, and whatever details you share about your project. If you're an existing client, we'll also keep records of our conversations, project files, contracts, and billing info. That's pretty much it. We're not tracking your browsing habits or selling your data to advertisers.

Our website might use cookies to make things run smoother on your end, but nothing creepy. Just technical stuff to remember your preferences and keep the site functioning properly.

How We Use Your Information

Here's the deal - we use your info to actually do our job. That means responding to your inquiries, preparing proposals, managing your project, sending you updates about work we're doing together, and handling the business side of things like invoicing.

Occasionally, we might send you our newsletter or info about new services if you've opted in, but you can unsubscribe anytime. We won't bombard your inbox - we've got better things to do, like designing buildings.

Who We Share It With

We're not in the business of selling your data. Period. However, sometimes we need to share limited info with third parties to get the job done - think engineers, contractors, permitting offices, or other consultants working on your project. Everyone we work with is bound by confidentiality agreements.

We use standard tools for email, cloud storage, and project management. These services have their own privacy policies, and we've chosen providers that take security seriously. If there's ever a legal requirement to disclose information, we'll comply with Canadian law, but we'll let you know unless we're legally prevented from doing so.

Keeping Your Data Safe

We take reasonable precautions to protect your information. Our systems use encryption, secure passwords, and regular backups. Physical documents are kept in locked cabinets at our Vancouver office, and digital files are stored on secure servers with restricted access.

That said, no system is 100% hack-proof, and we can't guarantee absolute security. But we're doing everything a studio of our size reasonably can to keep your info locked down.

How Long We Keep It

We'll keep your information as long as we're working together, plus whatever time Canadian law requires us to maintain records - usually around seven years for financial stuff and project documentation. After that, we'll securely delete or destroy it unless there's a legitimate reason to keep it longer (like ongoing warranty claims or legal matters).

If you just inquired but never became a client, we'll hang onto your contact info for about two years in case you change your mind, then we'll delete it.

Your Rights

You've got rights when it comes to your personal data, and we respect that. You can ask us what information we have about you, request corrections if something's wrong, or ask us to delete your data (though we might need to keep some stuff for legal reasons).

Want to exercise these rights? Just shoot us an email or give us a call. We'll handle it within a reasonable timeframe - usually within 30 days.

Portfolio & Marketing

We're proud of the work we do and love showcasing our projects. Before we use any photos or details of your project in our portfolio, website, or marketing materials, we'll always ask for your explicit permission. Some clients prefer to keep their projects private, and that's totally fine - we get it.

Third-Party Links

Our website might link to other sites - suppliers, partners, industry resources, whatever. Once you click through to those sites, this privacy policy doesn't apply anymore. We're not responsible for their practices, so you'll want to check their own policies if you're concerned.

Changes to This Policy

We might update this policy from time to time as our practices evolve or laws change. When we do, we'll update the date at the top and post the new version here. If there are major changes, we'll try to let our active clients know directly.

Questions or Concerns?

If something in here doesn't make sense or you've got concerns about how we're handling your information, don't hesitate to reach out. We're not lawyers - we're architects - so we'll explain things in plain language and work with you to address any issues.
